In addition to the administration and management of printers via our software solution easyPRIMA, the linking of technical and commercial data via fleet management is a decisive controlling instrument. Therefore, SEAL Systems has developed an additional software solution that links technical data like printer name, serial number, IP address, and counter readings with the relevant commercial data (e.g., leasing period, warranty, date of purchase, owner, cost center and all associated receipts). This additional solution creates a uniform view of the global printer fleet and makes it manufacturer-independent and neutral.

Important requirements that are solved by SEAL Systems’ fleet management solution:

  • Current page numbers for copies and printouts, e.g., in month or year
  • Utilization of multi-function printers / Optimization potential
  • Volumes of fill levels / supply messages / automatic ordering
  • All current and historical system messages

You can use various reports to check bills, click costs and pay-per-page at any time so that the necessary transparency towards the printer lessor (MPS provider) is guaranteed. All printers in the company are automatically recorded via an integrated process. This provides IT service, support and purchasing with an up-to-date overview of all printers and models.

Workflows definition according to alarms

Fleetmanagement-3 Fleet Management: Connect Technical and Financial DataSince all data of a printer can be evaluated, it is possible to define limit values and alarms. Defined workflows can be activated from these alarm states. For example, if the toner level is too low or the waste toner box is full, an order is automatically placed with the supplier and the service manager is instructed. If the printer cannot be reached due to an error, a failover printer can be defined automatically via the output management of SEAL Systems. A process-relevant output can then be redirected to a functioning printer. In addition, the IT service is informed by e-mail.

For each printer model, you can store procurement data such as delivery address, supplier of consumables, service provider, internal and external billing models. This data basis allows the complete integration of processes for procurement and service. Interfaces to OpenTRANS and XML structure can be used for the ordering process. This replaces manual processes and significantly reduces absenteeism and printer downtime.

Manufacturer-neutral orientation of your fleet management

SEAL Systems’ fleet and output management helps, you achieve independence from printer suppliers and manufacturers. This makes the comparability of printers (MFPs) and their costs transparent for the next tender, and gives you a purchasing and negotiation advantage. Our systems can also be integrated both on-premise and in the cloud environment. Use all your data for automation!
