The mini tool DMS XSA from SEAL Systems is very popular because you can elegantly solve tasks and maintenance tasks around SAP DMS with little cost. For example, reconversions, file exports and other tasks can be performed as unique or recurrent tasks. The new version of the tool has been released.

DMS XSA significantly extends the standard search function CV04 for documents. The selection is not only possible for information sets but also for document file specifications. The identified objects can be used as an import for configurable actions. For example, it is now possible to find all documents that contain a CAD file, but no TIFF or PDF. With a resulting list the user can check, whether the search conditions meet his expectations.

There are currently the functions "Conversion", "Export", and "Delete" available. These tasks can also run in batch mode. Other actions, also customer-specific ones, can easily be added. 

For actions in batch mode there is the possibility to input a start time and a finishing time. This ensures that the daily work is not hampered by background actions.

The logging of actions is done with a table. The display area can be reduced and set by using configurable filter functions.

With DMS Extended Search & Action it is possible to define, start and supervise singular or cyclic tasks with DMS documents.

Version 1.2.0 has many improvements and extensions. Among these are:

Document search

• Limitation of result list
• Userexits can be defined for document and file checks. If these examinations return errors, the document is not shown in the result list.
• As an additional option "AND-relation WS-Application" is available. If this option is activated, the result list only covers document information sets, which contain all WS applications of the multiple selection.
• By using a csv file with the DIS key fields, document information sets can be imported into the result list of DMS XSA. After this further processes are possible with functions. The import is possible with the import button within the extended selection dialog or with a seperate transaction.

Export

• The new ACS rights management for documents can be exported.
• With the export configuration, as an additional function users can decide whether document bill of material lists are dissolved an to which level before exporting. The predefined level of dissolving 0 means that the bill of material is completely dissolved. With a Userexit, bill of material can be dissolved according to customer-specific rules before export.
• Optimized synchronization with DMS Loader from SEAL Systems for later Re-Import of data and files.
• With the option "Additional files export" the export can be controlled for additional files of originals.

Conversion

• The maximum number of simultaneous conversions can be configured.
• The storage time can be set differently for successful, faulty and completed conversions.
• The process functions for conversions are also available in a remote version. This enables the calls from other systems.
• There are additional Userexit interfaces for the execution of conversion process functions. These are performed before or after the processing of the result list or the single document information set.

Configuration

• The configuration of DMS XSA is now done with an IMG structure, which contains all entry items for the configuration of DMS XSA as well as for the loggings and tools.
• Important configuration entries are delivered by BC set and can be activated directly in IMG. Additional customzing transports can then be ommited.

Logging

• At the display of the conversion and export protocol  the entries can be sorted, filtered and actualized. The log view can be started by using an IMG structure or with a single transaction.

For Batch processing, a process function can be defined for extended search, which uses all entries of the result list. For this, the new selection parameter "process" is available in the XSA report.

The Conversion Cockpit from SEAL Systems function were prepared for start and deletion of XSA conversion jobs.

Customers with valid maintenance contracts can use the new version free of charge.
